Mail API ("we," "us," or "our"), operated by Arionys, is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our email infrastructure service at mailapi.arionys.com (the "Service").
1. Information We Collect
a) Account Information
When you register, we collect your name, email address, and authentication credentials through our identity provider (Clerk). This information is necessary to create and manage your account.
b) SMTP Configuration Data
We store the SMTP credentials you provide (host, port, username, and encrypted password) to send emails on your behalf. These credentials are encrypted at rest and are never shared with third parties.
c) Email Metadata & Logs
We log email metadata such as sender address, recipient address(es), subject line, timestamps, and delivery status. We do not store the body content of sent emails beyond the time necessary for delivery and retry processing.
d) Airtable Integration Data
If you connect an Airtable base, we store your Airtable Personal Access Token (encrypted), base ID, and table/field metadata. We access your Airtable records only to fulfill email template operations you explicitly initiate.
e) Usage & Analytics Data
We use Google Analytics to collect anonymous usage data such as page views, session duration, and browser type. This helps us improve the Service. No personally identifiable information is sent to Google Analytics.
2. How We Use Your Information
- To provide, operate, and maintain the Service
- To send emails on your behalf via your configured SMTP server
- To process Airtable template operations and record updates you initiate
- To display email logs and delivery status in your dashboard
- To authenticate your identity and secure your account
- To communicate important service updates or security notices
- To improve and optimize the Service based on usage patterns
3. Data Storage & Security
We take the security of your data seriously:
- SMTP passwords and Airtable tokens are encrypted at rest
- All data in transit is protected with TLS/HTTPS
- API tokens are hashed and can be revoked at any time from your dashboard
- We follow industry-standard security practices for infrastructure and access control
While we strive to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
4. Data Sharing & Third Parties
We do not sell, rent, or trade your personal information. We may share data only with:
- Clerk — for authentication and user management
- Google Analytics — for anonymous usage analytics
- Your SMTP Provider — email content is transmitted through the SMTP server you configure
- Airtable — only when you explicitly use the Airtable integration features
We may also disclose information if required by law or to protect the rights and safety of our users and the Service.
5. Data Retention
We retain your account data and email logs for as long as your account is active. Email logs are retained for up to 90 days for troubleshooting and delivery verification. You can request deletion of your account and all associated data at any time by contacting us.
6. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and data
- Revoke API tokens and disconnect integrations at any time
- Export your email logs from the dashboard
7. Cookies
We use essential cookies for authentication and session management. Google Analytics may set its own cookies for analytics purposes. You can control cookie settings through your browser preferences.
8. Children's Privacy
The Service is not intended for individuals under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us so we can take appropriate action.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the Service after changes constitutes acceptance of the revised policy.
